What is the Return to Work Process?
When a sickness event is recorded, it can be entered in one of two ways:
1. You can record the start and end date for the absence. This can be done in instances where the sickness is being entered after the employee has returned to work or you know the exact date they will be returning - for example, they have been given a sick note from the doctor which states their projected return date.
2. You can make the absence ongoing using the absence ongoing? tickbox under the date pickers on the sick leave form. This is for if you don't know when the employee is due to return to work.
The return to work process can vary depending on your company settings. We have documented each potential process below.
The sickness event has been entered as an ongoing absence:
The employee will receive a notification asking them to confirm that they have returned to work, including the last date of their absence.
You require self-certification forms or fit note confirmation:
If the absence is up to 7 calendar days, the employee will receive a notification asking them to complete a self-certification form. Once this has been submitted, their sickness approver will be notified with a call to action to process (approver or reject the sick leave).
If the absence is more than 7 calendar days, the employee will receive a notification asking them to confirm that they have provided you with a fit note. Once this has been completed, their sickness approver will be notified with a call to action to process (approver or reject the sick leave).
You do not require self-certification forms or fit note confirmation and the absence was not ongoing:
A notification will go straight to the employee's sickness approver to be processed.
Sick leave is recorded under the Sickness tab on each employee's profile, where you can view each instance and see the self-certification forms where applicable. For users with access to this information (i.e. line managers, admins and the employee) they can also view sickness records directly through the calendar.
