Staff members can access most of the information held on their profile, although they are not able to edit everything themselves.
The tabs available to staff when they view their own profile can be seen below.
Staff can view their wall and any messages and files that have been uploaded there (with the exception of anything added by an admin who has selected the 'admins only' share with option). They can also add notes and documents to their own wall. When they share these with 'just me', they and any account admins will see the post.
PublicStaff can view all fields on their Public tab and can edit everything here apart from 'Job Title' and 'Department'. These can only be edited by an admin user.
The personal profile is split into 5 categories (shown below).
The private profile can be edited entirely by the staff member at any time.
As can the address section.
Payroll information can be viewed by the staff member, but only admins can edit this.
But they can update their bank details.
They can also enter and edit next of kin details.
Staff can access their next of kin information by hovering over the Personal tab and selecting 'Emergency'. This will take them to the same information shown above in the Next f Kin section.
Staff can view their job information, but cannot edit it. This is also slightly restricted, as certain information is hidden for non-line manager/admin users.
They can view their employee type, office, role, department, probation end date, current salary and benefits.
They will also see disciplinary information at the bottom of this page if there are any records there, but this will be hidden if there's nothing there. This cannot be edited by the staff member.
Staff will be able to view any onboarding checklists that have been assigned to them via the 'Onboarding' tab that sits under the 'Job' tab on their profile. It will list tasks that need to be completed.
If any of the tasks are assigned to the staff member, they will be able to tick it off once they have completed it. They can also view any files attached to the tasks.
If the staff member has any tasks assigned to them on another employee's onboarding checklist, these will be listed at the bottom of their own onboarding tab. They can check these tasks off from here and this will automatically cross it off on their colleague's onboarding checklist.
Read more about onboarding checklists here.
The holiday tab gives staff a breakdown of their own holiday requests and approved bookings. They can view all pending, upcoming, taken and cancelled or rejected holidays. This page allows them to amend or cancel pending or upcoming holiday requests as well as request a new holiday and export this data into excel.
Staff cannot cancel holiday that's already been taken. If this needs to be deleted, a line manager or admin user will need to do that for them.
They can also view their holiday stats at the side of their profile.
Staff can see any sickness records here. These are split between sickness taken in the current holiday period and current sick leave (this is anything that is currently pending). They can record sickness from this area and export the data into excel.
They can also view their sick leave stats at the side of their profile.
Like with the Holidays tab, staff can view their pending, upcoming, taken and cancelled or rejected remote working bookings.
This page allows them to amend or cancel pending or upcoming remote working requests as well as request a new request.
Staff cannot cancel remote working that's already been taken. If this needs to be deleted, a line manager or admin user will need to do that for them.
Lateness is disabled by default when a new company account is created, but admin users can make this tab available to their employees if they wish for them to view and record their own lateness. This can be done in the Permissions tab of your Company Settings.
Staff will be able to record lateness and export this information to excel, as well as view existing records and an overview of their lateness.
Staff have the ability to upload documents to their own profile. They will need to share these with any other users (including line managers and admins) that need access. Likewise, staff will only see files that have been shared with them, if uploaded by someone else.
Read more about file permissions here.
Admins can set up 'Week Ahead' emails for the whole company. If staff don't want to receive these, they can turn them off from their settings tab.
They can also turn off customer referral emails from the Settings tab. Read more about customer referrals here.
Staff will not have access to the main Appraisals tab that admins and line managers can see in the left hand navigation bar. Instead, they can access their appraisals information via the tab on their profile. This will show all scheduled and previous appraisals for the employee.
Staff will be able to view their existing and past working patterns under the Working Patterns tab. Find out more about working patterns here.
Staff can view all of their existing goals from the Goals tab on their profile. From here, they can open goals or set themselves new ones. More on Goals can be found here.
Staff can view and manage their timesheets from their profile. More on timesheets can be found here.
Staff will not have access to the main Expenses tab that admins and line managers can see in the left hand navigation bar.
